Can I integrate ConnectSx with Xero for billing?

ConnectSx has released a integration with Xero! Now passing invoices to your financial system can be easier than ever! To get started follow the steps below:

Connect your Xero Account to ConnectSx

Assign Xero Customer Codes to your Facilities

Push your Sales Orders/Invoices to Xero

Enable Auto-Send to Xero when Event is Submitted or PO is Added

Connect your Xero Account to ConnectSx

  1. First, log into your ConnectSx as a Primary Admin User.

    1. Only primary admin users have access to the integrations settings for an account.

  2. Next, navigate to the Settings page of your Account

  3. Click on the Integrations Tab and click on “Connect Xero Account”

  4. Next, you will be brought to the Xero website to login:

  5. After logging in, review the access that ConnectSx and Xero are requesting, then click “Allow Access”

 

6. You will be returned to the integrations tab of your account with the Xero integration connected.

Assign Xero Customer Codes to your Facilities

  1. Next, for each Facility in your Directory you will need to enter the Xero Customer ID in the directory record so ConnectSx can connect the correct Facilities with the correct customers in Xero.

2. To find the Xero Customer ID, log into your Xero account in a separate window or tab. Then navigate to the Customers section.

3. Next, click on the customer that matches up with the Facility whose Customer ID you are entering to open up their detail.

4. On this page, click into the URL and copy the customer code, which is embedded in the URL text string. The customer code is located after “/contact/…”

6. The customer code might resemble something like this: 5cfc38a4-f36c-464c-97de-9e4bfe744993

7. If you would like training or assistance on setting up your customers/facilities and locating the Xero customer codes, please submit a ticket here.

8. Next, copy this customer code and past it in to the “Xero Customer ID” field in the ConnectSx Directory record for that Facility.

9. Then Save!

Push your Sales Orders/Invoices to Xero

Now you’re ready to push your case information over to Xero. Any time after the event has been submitted for billing you may send the Sales Order or Invoice to Xero and it will link to the associated Customer.

  1. After an Event is submitted for Billing, click on the “More” menu by clicking on the ellipse button in the upper right corner of the Event Detail screen.

  2. Then select the option for “Export Sales Order to Xero” or “Export Invoice to Xero”

  3. If the Invoice has already been sent to Xero you will receive a confirmation message asking if you’re sure you want to send it again. This will result in a duplicate Invoice in your Xero Account for that customer, so be sure to manage this accordingly if you are going to resend any Event data.

  4. Then the Invoice will be available in your Xero account for further processing.

Enable the auto-export setting to send the invoice to the financial system automatically when the Event is submitted for billing:

You may enable a setting for your financial system integration to automatically export the invoice to your financial system via the ConnectSx integration when the Event is submitted for billing or when the PO# is added to the event.

1. Navigate to the Settings page as an Admin

2. Click on the Integrations Tab

3. Change the drop down menu setting for "Auto-export Sales Order to Account Software" to the desired option
