How can I easily find my expiring/expired inventory? 

There are a few ways to stay up to date on your expiring and expired inventory in Beacon. 

Expiration Alerts

Beacon will automatically send you notifications when inventory is expiring. When you receive these alerts you can set about deactivating this inventory with a "stock adjustment", initiate a return protocol to retrieve the inventory from the field, or quarantine it until further notice with a hold status. In some cases inventory needs to be held in quarantine until it can be reprocessed and given an updated expiration date. Staying on top of these notifications is the easiest way to ensure there is no expired inventory in your ecosystem.

Review Your Inventory 

You can always use the expiration filters to review your inventory by windows of time before its expiration date. 

1. Navigate to the All Inventory Screen

2. Open the Filters and enter a range for number of days until expiration. 

3. Check the box for "Include Expired" to also view any expired inventory.

4. Click Apply and view your soon-to-expire inventory. Utilize any other filters like custodian to narrow the search. 

Report on your Expiring Inventory

You can also pull an inventory report using expiration filters, such as the Inventory Export (Stock). 

1. Navigate to the reports page and select Inventory Export (Stock)

2. Set the Active filter to "Yes" to ensure you're looking at active inventory

3. Then use the Expiration filter to get the desired inventory cross section. For instance, to see inventory in the next two months use the filter "is in the range x/x/xx and x/x/xx" or to view expirations in the next year use the filter "is in the next year". 

4. Click the Purple Refresh button to apply your filters.

5. Click on the Kabob menu in the upper right corner of the report table titled, "Tile Actions", then select "Download"

6. Then select the Advanced Settings: 

  • Results: With Visualization options applied
  • Data Values: Unformatted (no rounding, special characters, etc.)
  • Number of Rows to Include: All Results
