How can I track my facility par levels to keep hospitals in-stock? 

If you consign inventory to your hospitals and healthcare facilities, it can be challenging to manage stock levels at those locations. Certainly, relying on your reps to physically check the shelf periodically is not a sure-fire way.

It's best to track your Facility stock levels using custom locations (for your Facilities) and Facility Par Levels in Beacon. Then you can use the Facility Par Level Report to easily see what items are low. 

The Facility Par Level Report provides a tool for maintaining optimal inventory levels across your facilities. This report presents a concise table that displays the set par levels for each catalog number, alongside the current count of available inventory.

The Report

The Facility Par Levels Report provides you with a list of the inventory you've set facility par levels for and the associated stock level including: Facility, Manufacturer, Catalog #, Location, Par Level, Available Inventory, Last Modified Date. 

To Export this data: 

  1. Click Refresh on the report table to apply filters 
  2. Click on the vertical ellipse or Kabob menu that appears when you hover over the upper right corner (Tile Actions)
  3. Select Download Data
  4. Choose your File Type
  5. Change your download settings. The most common download for a .CSV or Excel file should use the following settings. It is critical to use these settings to ensure all of the data is able to export. 
    1. In Results, select "With visualization options applied"
    2. In Data Values, select "Unformatted (no rounding, special characters, etc.)
    3. In Number of Rows to Include, select "All Results"
      1. This is very important as your data set may extend farther than Looker is able to display visually in Beacon, but you want to make sure to export all data. 
  6. Click Download
