How do I deactivate a catalog number so it cannot be used or selected anymore?

If a product is going to be retired and will no longer be used, it is a good idea to clean up the inventory and catalog data for that item. In this case, you can deactivate the catalog records for those items so they can no longer be selected, created, or used. 

IMPORTANT: IF INVENTORY STILL EXISTS FOR A CATALOG #, DO NOT DEACTIVATE THE CATALOG RECORD FOR THAT ITEM.

If you have inventory that is still active and is being sold or used, requested or transferred then do not deactivate the catalog record for that item

Catalog records should not be deactivated unless there is no remaining active inventory for an item. If you are retiring and decommissioning an item, deactivate the rest of its inventory via a stock adjustment before taking this action.

To deactivate a catalog record: 

  1. Navigate to the Catalog in the navigation. 
  2. Use the search bar and filters to locate the catalog # in question
  3. Click on the Catalog # to open its detail screen
  4. Double check that there are zero active items in stock associated with the catalog #
  5. Then click Deactivate in the upper right corner o the screen.
  6. When prompted, click Deactivate to confirm you are sure.
