How do I keep track of my loaned and due-back inventory? 

If you have a lot of loaned inventory then you'll want to stay up to date on what inventory is loaned and what is due-back. 

The Loaner Container/Tray Report offers an overview of your loaned inventory. This report presents a detailed table that lists all items currently on loan, providing essential information such as location, custodian, and due back date for each item.
 

Available Filters: 

  • Consignment Status
  • Custodian
  • Due Back Date
  • Extension Status

The Report

The report provides information about your loaned containers according to consignment status so you can get a view of your due back inventory. The report includes information including: catalog #, Description, Custody, Due Back Date, Due Back Status, Extension Status, Consignment Status, Location, and Hold Status. 

Export this Data: 

  1. Click Refresh on the report table to apply filters 
  2. Click on the vertical ellipse or Kabob menu that appears when you hover over the upper right corner (Tile Actions)
  3. Select Download Data
  4. Choose your File Type
  5. Change your download settings. The most common download for a .CSV or Excel file should use the following settings. It is critical to use these settings to ensure all of the data is able to export. 
    1. In Results, select "With visualization options applied"
    2. In Data Values, select "Unformatted (no rounding, special characters, etc.)
    3. In Number of Rows to Include, select "All Results"
      1. This is very important as your data set may extend farther than Looker is able to display visually in Beacon, but you want to make sure to export all data. 
  6. Click Download
