Events, Requests, and Transfers are the major mechanical concepts in ConnectSx that allow you to consume/sell inventory, request more inventory, or move inventory respectively.

You can look up the details of each in the appropriate detail screen in the system. However, often these actions take place in a sort of set with requests and the resulting transfers happening as a result of an Event being scheduled.

This article will cover how to link Requests, Transfers, and Events and how to follow the links.

Associate a Request with an Event

Inventory requests are not required to be associated with an Event (although this is an option the Admin may turn on in the organization settings), but it is often useful context for the manufacturer to know that inventory is being requested for a particular event. Associating a request with an event also provides useful historical data about inventory demand and inventory movement.

There are two ways to associate a request with an Event.

  1. Request Inventory for an Event

    1. After the event has been scheduled, navigate to the appropriate event detail screen

    2. Click the “Create Request” button in the upper right corner, or select create a request from recipe in the “More” option menu.

    3. Select the inventory and finish creating the request as you would normally. 

  2. Request Replenishment After an Event is Closed

    1. After an event has been signed, closed, and submitted for billing you may select the “Request Replenishment” option.

    2. Select the manufacturer of the devices you would like to replenish (you may repeat this process for situations with multiple manufacturers - each request must be manufacturer specific). The click Next.

    3. Note that the request is already filled out with the manufacturer contact and the devices that were used in the event. You may add more items to the event by clicking on the Request Additional Inventory link at the bottom of the pop up.

    4. Click Create and the request will be created and linked with the Event.

View Requests Associated with Events

  1. To view the requests that have been associated with an event, click on the request number at the top of the event detail screen.

2. From the Request Detail screen you may also find the associated event along the right side of the screen.

Trace the Transfer Resulting from a Request back to that Request

  1. When an inventory request is fulfilled, a transfer is created. This Transfer can be accessed from the Transfer screen as normal, or you can click the link in the Requests List Screen or Request Detail Screen.

  2. You can also link back to the Request from the Transfer Detail Screen.

Associate a Transfer with an Event

If you do not use requests, but still want to show a link between an event and the inventory movement for that event, you may associate a transfer with an event.

  1. Create the transfer, Select the sender and recipient, and select your inventory.

  2. In the 3rd screen of the workflow (Preview), select an Event from the drop down menu.

3. Then the associated event will be displayed with a link in the transfer detail screen.

4. The transfer link will also be displayed at the top of the Event detail screen.

Now that we’ve covered the linkages between Events, Requests, and Transfers you can see how they all link together creating a sort of audit trail for the movement of inventory leading to its eventual use in an Event. This can be a useful artifact if you need to audit your inventory or investigate a particular Event and the devices used in it.

Linking Existing Events and Transfers

  1. Navigate to the Transfer you would like to link to an Event

  2. Scroll down to the Associated Event field

  3. Select from the drop down list of available events
