How do I maintain the product catalog?

The Product Catalog is where all of your inventory data starts, so its important to keep it clean and up-to-date. The ConnectSx inventory data hierarchy starts with Product Lines that belong to your account, then Catalog Numbers are associated with those Product Lines. When you import inventory for the first time with a new product line or catalog number the Product Catalog records will be created automatically, but there are times when it is advantageous or necessary to make manual edits to the Product Catalog. Think of the Catalog sort of like the Directory, but for your inventory.

Deactivate a Catalog Record

Add a Product Line:

  1. Navigate to Inventory--> Product Lines, and you will see all of your Product Lines

  2. You will also notice that you have the filter bar along the left hand side. Here you can filter to be able to see your Product Lines, Catalog numbers, or Bills of Materials. Then you may add additional search terms to drill down deeper.

  3. To add a new Product Line click the “Add Product Line” button in the upper right hand corner.

  4. Then add the Name and select the Manufacturer for your new product line.

  5. Next, add product type modifiers if necessary. Select from existing ones in the drop down or create new ones by typing them in the Product Type field and hitting enter.

    1. These product type modifiers can be used to further communicate specificities about inventory when an inventory request is being created. You may distinguish between the location of the procedure, for instance, which may determine which sets are fulfilled on that inventory request (ex. left vs. right).

  6. Then if you wish, you may add a link to an image or file in the “Asset Url” field to associate it with that Product Line and add a Description.

  7. When you’re done, click “Create” and your product line will be created.

Associate Catalog Numbers with Product Lines

When you click into a Product Line record you can scroll to the bottom to view all of the catalog numbers that are associated with that Product Line.

Product lines can be assigned when a catalog # is created or any time in the Catalog # detail screen, but you may also do this right in the Product Line detail screen. 

1. Click into the Catalog # field 

2. Type to search for the catalog #, you may select Containers or Devices.

4. Make sure the page is saved

5. When items are associated with a product line you will see them displayed in the list view and note their inventory type.

 

Deactivate a Product Line:

  1. Navigate to Inventory--> Product Lines, and locate the Product Line you’d like to Deactivate.

  2. Click on that Product Line

  3. Then Click the “Deactivate” button in the upper right corner. (Note: A Product Line must have no active inventory associated with it in order to be deactivated).

  4. If you are positive, click “Yes, I am sure” and your record will be deactivated.

  5. You can always return to the exact same spot to reactivate the record, if necessary.

Add a Catalog Record:

 

Note on Importing Inventory: If a catalog number in your import has not been created already in your account, it will be created automatically in the Catalog during import and will adopt the description imported with it.

If an item in the catalog DOES NOT have a description entered, it will inherit the description of the next imported inventory item sharing that catalog number. If it already has a description in the catalog, nothing will be changed.

  1. Navigate to Inventory-->Catalog Items

  2. Here you will see all of your catalog numbers listed with the related Cost of Goods, Par Level, and count of that device currently in inventory.

  3. Click the filter at the top of the page to view Catalog Items by Devices or Containers
  4. To add a new catalog record click the “New Catalog Item” button in the upper right hand corner.

  5. Next, add the Catalog #, Manufacturer, and Product Line for this record. Then click “Next”.

  6. Then, enter a Cost of Goods sold value if desired.

  7. Then, enter a Par Level for this item if desired. This will trigger a notification if the item falls below par level.

  8. Then click “Create” and your Catalog Record will be added.

Remove a Product Line from a Catalog Item

  1. Navigate to the Catalog section of the console

  2. Click on the desired catalog # to open its detail screen

  3. Click the X next to the product line you’d like to remove

  4. Click Save

  5. Note: You may not remove all product lines from a catalog #

View All Inventory of a Given Catalog #

Now, when you click on a catalog record and scroll to the bottom of its detail page, you will see all of the items that bear that catalog number.

Deactivate a Catalog Record:

  1. Navigate to Inventory--> Products, select the filter for “Catalog Number” and search for the catalog number you’d like to deactivate.

  2. Click on that Catalog Record

  3. Then Click the “Deactivate” button in the upper right corner. (Note: A Catalog Record must have no active inventory associated with it in order to be deactivated).

  4. If you are positive, click “Yes, I am sure” and your record will be deactivated.

  5. You can always return to the exact same spot to reactivate the record, if necessary.
