How do I find and use inventory that is shared with me by my distributor? (For Sales Users)

If your distributor shares inventory, you'll need to pay attention to which inventory you're selecting

Usually if you're a Sales User in ConnectSx, you're viewing the inventory that's in your custody only. However, if your distributor shares their inventory with you, you'll see that too and will need to utilize your custody filters. 

Why are we sharing inventory?

This inventory sharing setup allows Distributors to share inventory among their linked Sales Reps which reduces the need to transfer inventory every time it changes hands within the distributorship.

If a distributor has a shared warehouse that reps pull from, this prevents the need to transfer inventory every time a rep grabs what they need for a case.

Viewing Shared Inventory in the Inventory List

  1. To look up or search the inventory that is shared with you navigate to the All Inventory screen. 
  2. Click on the Filters icon next to the search bar. 
  3. Use the Custodians filter to add custodians to your inventory filter by clicking on the "add" button for the "Custody" filter and select custodians from the drop down menu. You may select as many as you like that are available.
  4. Click "Apply" in the lower right of the Filters pop up to apply your filters. 
  5. The inventory displayed in the list will show inventory corresponding to the Custodians you selected in your filters, including inventory that is in a Distributor's custody  but is available to be used by you. 

Using Inventory in an Event

When you get to the Mark Used Inventory screen to select the inventory that was used in a case it’s important to pay attention to which custody your inventory is coming from. If your filters aren’t set correctly, you may not see the correct inventory!

If you are searching your inventory and aren’t seeing the inventory you are supposed to see there, it is possible that you need to change your filters. Inventory in this screen defaults to show what is in the sales user's custody only. 

You may need to adjust your filters to display the inventory shared with you by your distributor(s).

Think about if you should be using inventory from your custody or your distributor's shared custody. 

To view and select shared inventory, modify the Custodian filter: 

  1. In the Event Detail Screen for a case, click on the Mark Used Inventory button
  2. On the left side of the pop up window, use the Custodian filter to select the appropriate option
  3. You may select: 
    1. Your Custody (only)
    2. Rep & all inventory shared by distributor
    3. Only inventory shared by distributor

This filter may be a bit easier to miss if you are using Beacon Mobile, so make sure to click on the Filters arrow to expand the options for filtering.

After you've expanded the filters, you may change the Custodian selection to view inventory: 

  • In your Custody only
  • Rep & All Inventory Shared by Distributors
  • Only Inventory Shared by Distributors
