Set up your Custom Fields
Map up to 3 custom invoice fields in QuickBooks Online to specific data points from the Beacon Sales Order.
This Pro integration allows you to map fields from your sales order to custom fields in Quickbooks, so you’ll be able to transfer information such as the Event ID or Patient ID to these custom fields on your Quickbooks Invoice.
Caution: QuickBooks API rules only support data mapping to the first 3 custom fields created in your QuickBooks Online account.
Create custom fields in QuickBooks Online under Settings > Custom Fields.
If you have more than 3 custom fields, make sure the 3 you want to map to Beacon are the first 3 listed in Quickbooks.
Navigate to Beacon Settings > Integrations > QuickBooks Settings.
Connect your account to Quickbooks, if you haven’t already. Check out how here.
Lastly, chose from 6 different fields in the ConnectSx-generated Sales Order and map those fields to up to 3 custom Quickbooks fields:
PO Number
Surgeon Name
Patient ID
Event Date
Procedure
Event ID
You may map one of the fields from the sales order to the 'Message' on the Invoice. Select from the same options above or use a Manual Note.
Click Save
Lastly, check out the graphic on the Integrations Tab to verify the fields are mapping correctly.
Enable the auto-export setting to send the invoice to the financial system automatically:
You may enable a setting for your financial system integration to automatically export the invoice to your financial system via the ConnectSx integration:
when the Event is submitted for billing
when the PO# is added to the event
If neither of these options are selected, the sales order/invoice can be pushed to the financial system manually in the Event Detail screen.
