Use the Backordered Checkbox
When an inventory request cannot be fulfilled in full due to stock shortages, the Backordered checkbox allows operations users to explicitly flag unfulfilled items directly on the request record. This feature ensures field reps receive clear documentation on partial shipments while maintaining an active record of outstanding demand for future fulfillment.
Flagging Line Items as Backordered During Fulfillment
When fulfilling an inventory request with missing or limited stock, use the backordered workflow to document line-item exceptions:
Locate the Request: Navigate to Movement > Requests in the Console and click on the open or in-progress request to view its detail page.
Access Requested Inventory: Scroll down to the Requested Inventory section where requested catalog items and quantities are displayed.
Select the Backordered Checkbox: Check the Backordered checkbox (or Partial/None Shipped indicator) next to any catalog item that cannot be shipped in full.
Enter Shipped Quantities & Reasons:
Update the Quantity Shipped field (enter
0if the item is entirely out of stock, or enter the partial quantity being sent).Enter or select Backordered as the fulfillment status reason.
Save Line-Item Status: Click Save to update the line item before proceeding to partial fulfillment.
Impact on Field Communication and Backorder Tracking
Using the Backordered checkbox automates communication across field reps and operations teams without requiring separate phone calls or spreadsheets:
Digital Field Visibility: Requesters logging into the Console or Beacon Mobile can view their request details to immediately see which items were shipped, which remain backordered, and the documented reasons why.
Packing Slip Documentation: When generating the transfer packing slip PDF for the partial shipment, enable the flag to include partial/unfulfilled items. The generated PDF explicitly lists backordered catalog numbers and outstanding quantities for the recipient.
Backorder Tracking & Subsequent Fulfillment: Flagging items as backordered maintains the request in a Partially Fulfilled status. Operations teams can monitor outstanding demand via the Partially Fulfilled Requests (Backorders) Report and issue follow-up transfers to complete the request as soon as new stock is received.
Use the Partially Fulfilled Requests (Backorders) Report
In the course of managing your inventory requests, you may end up with partial fulfillments and backorders. The Partially Fulfilled Requests (Backorders) Report can help you to keep track of what partial fulfillments and backorders you still have outstanding.
The Partially Fulfilled Requests (Backorders) Report provides a clear picture of your outstanding request/order fulfillment status. This report presents a table listing all requests that have been partially fulfilled, detailing the items already shipped and the quantities still needed to complete each request.
Available Filters:

The report includes line item details of each item and request with a partial fulfillment including: request id, requested by, catalog #/container name, requested product line, qty requested, qty marked received, transferred catalog #, qty transferred, total still needed, transfer IDs.

Select Download Data
Choose your File Type
Change your download settings. The most common download for a .CSV or Excel file should use the following settings. It is critical to use these settings to ensure all of the data is able to export.
In Results, select "With visualization options applied"
In Data Values, select "Unformatted (no rounding, special characters, etc.)
In Number of Rows to Include, select "All Results"
This is very important as your data set may extend farther than Looker is able to display visually in Beacon, but you want to make sure to export all data.
