How do I use the BOM Availability & Reorder Report to manage shortages in my BOMs and reorder inventory?

Understanding BOM Availability & Reorder

The BOM Availability & Reorder report provides a comprehensive breakdown of every catalog item required for your Bill of Materials (BOM). This tool is designed to help you understand current inventory levels in the context of sales velocity, giving you a clear picture of when you need to replenish stock.

What it Means for You

  • Eliminate Stockouts: View estimated time until a reorder is necessary so you can plan replenishment before you run out of critical components.

  • Detailed Visibility: See every catalog item, required quantities, and specific manufacturers associated with your BOMs.

  • Data-Driven Planning: Use historical sales velocity to accurately forecast future inventory needs.

  • Daily Accuracy: Information is updated daily to ensure your planning is based on the most recent data available.

Using the Report in Your Workflow

Inventory Planning (Admin & Operations Only)

This report is restricted to Admin and Operations roles to assist with high-level supply chain management. It allows these users to monitor the "buildability" of their kits and containers across different product lines.

How to use BOM Availability & Reorder

  1. Navigate to the Inventory section of the Reports page.

  2. Select the BOM Availability & Reorder report.

  3. Use the filters to narrow your view by BOM Name, Catalog Number, Manufacturer, or Product Line.

  4. Review the "Time Until Reorder" column to identify which items require immediate procurement attention.

5. Scroll below the report to read definitions of columns and filters, or read on below:

Column Details

  • Count: Total units of this catalog item currently available across your organization. "Available" means the item is active, not expired, and not assigned to an open event. This is an org-wide number, not per-container.

  • Containers Possible: How many complete containers this single line item could fill: Count ÷ Required Quantity, rounded down. For example, if you need 2 per container and have 7 on hand, Containers Possible = 3.

  • BOM Max Buildable: The fewest Containers Possible across all line items in the BOM — your bottleneck. This is the true number of complete kits you can assemble today. If one line item shows 3 and everything else shows 50+, you can only build 3.

  • Qty Sold: Total units of this catalog item used in completed events during the selected date range. This counts individual inventory items marked as used in cases, subscriptions, trials, stocking orders, and other event types. Facility stock events are excluded. If the date filter is not set, it defaults to the last 13 weeks.

  • Units Sold/Week: Qty Sold ÷ Weeks in the selected date range. This is the average consumption rate. A value of 2.0 means you typically use 2 of this item per week.

  • Lead Time (weeks): How many weeks it takes to receive new stock after placing an order. This is set on the catalog item in Beacon and is optional — if blank, Weeks Until Reorder cannot be calculated.

  • PAR Level: The minimum stock level (safety stock) you want to maintain for this catalog item. Set on the catalog in Beacon. When present, the reorder calculations target this floor instead of zero — meaning you'll be alerted to reorder before dropping below your safety stock. If not set, the calculations assume a floor of zero.

  • Weeks of Supply: How many weeks until your available stock drops to the PAR level (or to zero if no PAR is set): (Count - PAR Level) ÷ Units Sold/Week. A value of 52.0 means roughly one year of supply at the current consumption rate. Blank when there are no sales in the selected period.

  • Weeks Until Reorder: Weeks of Supply - Lead Time. This is when you need to place a reorder to avoid dropping below your PAR level (or running out entirely). A negative value means you should have already reordered. Blank when either Lead Time is not set on the catalog item or there are no sales in the selected period.
