Understanding Calendar Integration
Managing a surgical schedule requires coordination across multiple platforms. The Add to Calendar feature allows you to export Case, Trial, or stocking events directly from Beacon to your personal calendar. This integration ensures that critical surgical details are accessible on your mobile device or desktop calendar, formatted for professional accuracy and high visibility.
What it Means for You
Optimal Visibility: Exported events use a 30-minute duration, ensuring they are clearly visible on your daily calendar grid.
Automated Alerts: Each calendar entry includes a 30-minute reminder by default to assist with time management.
Comprehensive Case Data: The calendar description automatically includes the event type, procedure, assigned physicians, and representative.
Quick Reference Links: Every entry contains a secure Beacon link that navigates directly to the specific event detail page in the Console.
Cleaner Documentation: The system automatically omits empty fields or "N/A" placeholders, such as the location if a facility is not yet assigned.
Using Calendar Integration in Your Workflow
Web and Desktop
When downloading a calendar file (.ics) from the web console, Beacon produces a standardized format compatible with Google Calendar and Apple Calendar. For cases where a specific start time has not been finalized, the system defaults the entry to 8:00 AM and includes a note in the description stating that the scheduled time is not yet set.
Mobile (iOS and Android)
On mobile devices, the feature utilizes Native Calendar integration for a seamless experience.
Device Default Calendar: Events save directly to your device's primary calendar, rather than a separate app-specific folder.
All-Day Organization: Transfers and inventory requests are exported as true all-day events, preventing them from cluttering specific time slots intended for surgeries.
Permission Handling: The application requires access to your device calendar. If access is restricted, the app provides instructions on how to enable permissions within your device settings.
How to use "Add to Calendar"
Navigate to the detail page of any Event, Transfer, or Request.
Select the Add to Calendar button.
On Desktop:
A calendar file will download to your computer.
Open the file to import the details into your preferred calendar application.
On Mobile:
Confirm the calendar access prompt if it appears.
Review the pre-populated details, such as the 30-minute duration and reminder alerts.
Tap Save or Add to sync the event to your device's default calendar.
