Overview
Previously, making updates to fields like Hold Status, Consignment Status, or Inventory Tags required managing items either row-by-row on their individual detail pages or staging them through dedicated transfer workflows.
With the introduction of Bulk Inventory Updates, organization administrators and authorized field users can now execute mass update actions directly within the central All Inventory list screen using a dynamic action toolbar.
This enhancement eliminates repetitive manual entry, reduces the risk of human error, and vastly increases operational efficiency when auditing or reorganizing large batches of medical devices and containers.
Key Features & Available Bulk Actions
When you select multiple items in the central Inventory List, the new Action Toolbar dynamically slides into view, allowing you to perform the following operations simultaneously across all selected records:
Update Hold Status: Transition a batch of inventory between states such as Ready for Sale, Quarantine, Receiving, or Nonconformance in one click.
Modify Consignment Status: Change ownership types (e.g., converting a group of items to Loaned or Consigned) instantly.
Assign Geographic/Custom Locations: Bulk-assign or reset the custom geographic location for selected loose devices or trays to maintain real-time tracking.
Manage Search Tags: Append user-defined text tags (ex.
#Maintenance,#Earmarked, or#CycleCount) to dozens of devices simultaneously for easier searching and filtering later.Mass Deactivation: Bulk-deactivate inventory items that were created in error or need to be permanently removed following a physical cycle count audit.
Step-by-Step Guide: How to Use the Bulk Action Toolbar
Navigate to the Inventory Console: Log into the web console and click on Inventory > All Inventory from the left-hand sidebar navigation.
Filter and Locate Your Items: Use the global search bar or the advanced multi-select filters (e.g., filtering by a specific Catalog #, Custodian, or Lot Number) to surface the records you intend to update.
Utilize the Bulk Update Action: Once your filters have selected the desired body of inventory, click the Bulk Update button at the top of the inventory list interface.
Choose and Configure Your Action: Click on the desired operation dropdown (e.g., Update Hold Status or Add Tags). A modal option field will appear:
Select the new status or type in the new tag string.
Confirm if you want to overwrite any existing pending assignments.
Save & Sync Changes: Click the Apply button. The console will process the batch payload in the background, refresh the data grid, and display a completion toast notification.
Guardrails & Best Practices
⚠️ Important Permissions Note: Bulk operations strictly honor existing role-based access control rules. Senders or sales reps can only execute bulk actions on inventory currently residing inside their personal custody. Organization Administrators retain full multi-custodian clearance across the entire platform profile.
Container Propagation Rules: Applying a bulk location update to a Container (tray) automatically pushes and updates that geographic location to all loose devices packed inside it.
UDI Safety Safeguards: Lot numbers and serialization strings cannot be altered via bulk operations if the device has a validated federal UDI attached, preserving strict regulatory compliance history.
The 48-Hour Import Window: If you recently uploaded a large spreadsheet (.CSV) and noticed a widespread mapping mismatch, do not use the bulk operations tool to fix it. Instead, utilize the Undo Import feature available on your Imports log within 48 hours to cleanly wipe the batch and start fresh.
