Why is it important to stay on top of your Facility Stock levels?

Keeping track of what has been sold to a facility via stocking order, what facility stock has been used, what the stock levels are, etc. can be a lot to manage, but it's important to keep track of for the following reasons: 

  • Know when the facility is running low. You’ll want to keep an eye on facility stock levels on critical items so you can create another stocking order and sell more so the facility doesn’t run out.

  • Manage expiring facility stock. Facility stock expires like anything else and you’ll want to get out ahead of expiring inventory to ensure it doesn’t get used and so you can sell more fresh stock to the Facility.

  • Pay commissions on items sold by stocking order. If the rep that did the stocking order doesn’t get the whole commission, you may need to track who covers the cases when the facility stock gets used to know who to pay commissions to.

  • Track device use. Sales are one thing (admittedly they’re a pretty big thing), but tracking device use can inform more about how and when devices are getting used. This info can be useful for designing new products and forecasting your inventory.

So what tools are available to you?

Inventory Filters

The inventory filters in the All Inventory screen will help you manage a number of aspects of your facility stock: 

  • Keep track of Facility Stock Levels 
    • Navigate to the All Inventory screen
    • Click on the Filters Button
    • Select "Facility Stock" in the Status dropdown menu
    • To view all Facility Stock, Click Apply.
    • You may also apply other specific filters to view particular pools of inventory, for instance:
      • Enter a particular custodian in the Custody filter to view facility stock sold by a particular user
      • Select a particular Facility to view facility stock associated with a particular customer
      • Enter a catalog # or lot # to view facility stock of a particular item or batch
      • Combine these filters as needed to see the relevant inventory levels you're looking for
  • Manage Facility Stock Expiration Dates
    • Navigate to the All Inventory screen
    • Click on the Filters Button
    • Select "Facility Stock" in the Status dropdown menu
    • Next select the expiration filter. We recommend checking for inventory expiring within 60 days, 30 days, and already expired to make sure you have ample time to replenish if stock levels are low.
  • Look up Facility Stock that has been used
    • Navigate to the All Inventory screen
    • Click on the Filters Button
    • Select "Facility Stock" in the Status dropdown menu
    • Check the box for "Show Deactivated Inventory" to view what Facility stock has been used in a case.

Facility Stock Reporting

The Facility Stock Sales reporting dashboard will allow you to view information about your facility stock, sales, and where it was used. Access this in the Sales reporting in the Events screen.
