How do I scan barcodes to search and sell my inventory?

Beacon allows users to scan the barcodes on device labels to pull those items up in the system. In order for this feature to function the UDI or barcode data must be stored verbatim in the inventory record so Beacon may find the appropriate search result when the barcode is scanned.

Entering the Barcode Data

To enter the barcode data for your inventory, the easiest way would be when the inventory is created, either manually or by import, because this allows you to apply the barcode data to an entire body of inventory at once. 

To enter barcode data for a device or container after it has been created: 

  1. Navigate to the All Inventory screen
  2. Use the search filters to locate the device or Container
  3. Click on it to open its inventory detail screen
  4. Scroll down to the field in question and enter the text of the barcode. This must be the data that the barcode scanner will read when the barcode is scanned; the label barcode data must match the data stored here exactly. 
    1. UDI: You may enter a Unique Device Identifier for the item in the "Raw String" field, click Verify, and the system will parse the UDI. Beacon will populate relevant information like the Lot # and Expiration date and the UDI will be treated as the source of truth for this item. The text of the UDI from the barcode 
    2. Barcode: You may enter a secondary barcode as well, which could be the UDI if you don't want to have the UDI Parsed, or other barcode.
  5. Click Save
  6. Repeat for as many items as you need to update barcodes for.

You may use a barcode scan to search and locate a device in your inventory. 

  1. Navigate to the All Inventory Screen, or any inventory search field with the barcode scan icon such as in a transfer or Event.
  2. Click on the Scan Barcode button. You may use the search bar icon, or click on Filters and select the button in the UDI/Barcode field.
    1. As mentioned above, you will see this Scan Barcode icon throughout Beacon in scenarios where you are searching for inventory.
  3. Select if you will use the Camera on your device or if you will connect an external scanner
  4. Scan your barcode
  5. When the scan has registered, the data of the barcode will be entered into the search field and you may click "search" or "apply" depending on the screen to initiate the search
  6. Beacon will search your inventory for items matching this barcode as a search parameter and return results like any other search. 

Scanning a Barcode to Add a Device to an Event or Transfer

In some scenarios you may scan a device label barcode to add an item to an Event or Transfer. 

  1. In the Mark Used Inventory screen of an Event or when creating a transfer, you will see a "Scan to add" button. Click on it to use the "Scan to add" feature.
  2. Select if you will scan using the Camera on your device or if you will connect an External scanner.
  3. Scan your barcode
  4. If the system is able to locate an exact match in the search results for the barcode you scanned it will automatically be added to the selection. 
  5. 1 Scan = 1 Add. Be careful to review your selections before exiting to make sure you have added the correct quantity.
