How do I set due back dates for my loaner inventory shipping out to the field?

  • When a due back date is set on a transfer that inventory will be labelled 
  • ONLY Admin users may reset due back dates.
  • Due back dates are reset when the inventory is transferred
  • Admin users may reset due back dates without transferring the inventory
 

Note: When you set a due back date on a container, it will populate for the inventory contained within as well.

  4. Change your Settings to Automatically set Due Back Dates when Loaned inventory is assigned to an Event

Set Due Back Dates from the Inventory Detail Screen

You can set a due back date to track inventory that you expect to return within a certain time frame. 

  1. Enter the detail screen for the device or container you’d like to set a due back date for. 

  2. Find the field labeled “Due Back”, and select the date from the calendar. 

  3. Make sure to click Save!

  4. When you set a due back date on a container, it will populate for the inventory contained within as well.

  5. Now this date will be tracked and you will receive notifications when you have inventory that is due back.

  • Your inventory will also receive color coded alert tags when the inventory is due back.

Set the Due Back Date while Transferring Inventory

You may now set the due back date while you are transferring inventory, rather than only in the Inventory Detail Screen.

  1. Initiate your transfer.

  2. Select the inventory you would like to transfer, then click “next”.

  3. Then in the last screen of the pop up workflow, scroll down to the Due Back Date field.

  4. Make sure to set the consignment status to "Loaned", otherwise users will not be able to communicate if they need an extension on returning the inventory or reset all due back dates for loaner inventory. 
  5.  Click the “Reset Due Back Date” toggle

  6. Select the Due Back Date

  7. Make any other adjustments to the transfer

  8. Then click “Create”

  9. The transfer will be labelled as a "Loaner".

3. Set the Due Back Date while Fulfilling an Inventory Request

You may also set due back dates for inventory when you are fulfilling an inventory request in the console. During this workflow you are also sending inventory out into the field, resulting in a transfer.

To change the due back date while fulfilling an inventory request:

  1. Begin fulfilling the inventory request and select the inventory you would like to transfer to the requestor.

  2. After you’ve selected the inventory, click next to move to the Transfer Inventory step of the workflow.

  3. Scroll down on the right hand side of the pop-up window to find the Due Back Date field.

  4. Click the “Reset Due Back Date” toggle to on.

  5. Enter the desired Due Back Date.

6. Click “Done” to create the transfer and fulfill the inventory. When the transfer is accepted the Due Back Date will be applied.

Change your Settings to Update Due Back Date for all Loaner Inventory

You can update a setting which will create a Due Back Date any time inventory consignment status is changed to "Loaned" and the item or container is assigned to an Event.

  1. Navigate to your Settings (as an Admin)
  2. Switch to the Organization Tab
  3. Locate the Settings section and turn on the setting for "Automatically Set Due Back Dates for Loaned Inventory"  Screenshot 2024-06-19 at 11.07.59 AM
  4. Enter the number of days you would like to set the Due Back Date for after the Loaned status is set. 
  5. If inventory with a "Loaned" status is assigned to an event it is given a due back date of that many DAYS AFTER the Event Date
  6. Make sure to Save!
