Can I collect signatures early for pre-authorization before submitting my case for billing?

Understanding Pre-Authorization Signatures

This feature allows users to capture a formal facility approval signature on an event at any time, even while the case is still open and device documentation is being finalized. It provides a way to secure early authorization from hospital staff without needing to prematurely submit or "re-open" the event.

What it Means for You

  • Early Approval: Capture necessary facility signatures as soon as they are available, rather than waiting until the end of the case.

  • Workflow Flexibility: Finalize your inventory usage and documentation at your own pace after the signature has already been secured.

  • Comprehensive Documentation: Pre-authorization signatures are automatically included on the Sales Order PDF, appearing alongside the final submission signature if both are present.

  • Persistent Records: Unlike standard signatures that may clear during certain status changes, the pre-auth signature persists if an event is re-opened.

Using Pre-Authorization Signatures in Your Workflow

Event Management

You will now see a dedicated Collect Pre-Auth Signature button in the right-hand sidebar of any open event. Once a signature is collected, the sidebar updates to show a Pre-Authorization section containing the signer’s name, the signature image, and a date/time stamp.

Sales Orders

The system automatically manages the display of these signatures on your documents:

  • If you have both a pre-auth signature and a final submission signature, both will appear on the Sales Order (pre-auth listed first).

  • If only a pre-auth signature is captured, it will still display on the Sales Order to ensure the facility's authorization is visible.

How to use Pre-Authorization Signatures

  1. Open the Event Detail page for any active case.

  2. In the right-hand sidebar, locate the Collect Pre-Auth Signature button (positioned below the Documents section).

  3. Click the button to open the signature modal.

  4. Enter the Signer's Name and have the facility representative provide their signature in the capture area.

  5. Click Save.

  6. The signature will now appear in the sidebar. To remove or update it, click the Delete [x] icon next to the signature image to make the collection button reappear.
