Note: This is a hidden feature available only upon request by Organization Admins. Standard organizations will follow standard signature capture unless explicitly requested.
Overview
To reinforce regulatory adherence and institutional protocols, ConnectSx Beacon introduces a mandatory Compliance Sign-Off Action within the event close-out workflow. When closing a surgical case or event, users will now encounter a dedicated confirmation checkbox inside the event signature modal. This mandatory step ensures that formal compliance authorization is acknowledged and recorded in perpetuity alongside the digital signatures.
Why It Matters
Enhanced Accountability: Enforces a rigid protocol check before an event can be submitted to billing.
Audit Readiness: Stores the compliance authorization timestamp and user context directly in the case history to fulfill internal and external regulatory criteria.
Reduced Billing Disputes: Verifies that all compliance benchmarks are met before generating official sales orders or invoices.
How to Complete the Compliance Sign-Off
When you have finished performing a case and recording device usage, follow these steps to complete the mandatory compliance sign-off:
Navigate to the Event Detail Screen of your open case on either the Web Console or Beacon Mobile.
Review the Devices Used tab with the clinical staff to ensure total accuracy of all recorded lots, UDIs, and quantities.
Click the vertical ellipse ("Kebab" icon) or quick action button and select Submit for Billing.
Inside the Signature Modal, locate the new dedicated Compliance Authorization checkbox.
Check the box to confirm that the case details adhere to established company compliance guidelines.
Enter the required Sales Representative signature (and Provider Representative signature, if available).
Click Submit for Billing to finalize and advance the case status to Pending PO.
⚠️ Crucial Guardrail: The Submit for Billing button will remain disabled until the compliance confirmation checkbox is explicitly checked. Leaving this box blank will block the event from advancing in the billing pipeline.
System Configurations & Restrictions
Data Integrity: Once checked and submitted, the compliance authorization status is permanently locked into the event's electronic record. If a case must be adjusted later, authorized users must Reopen the event, which will reset the workflow and require a fresh compliance sign-off upon resubmission.
