Understanding Manufacturer Email Recipients

This feature enhances the "Automatically email sales orders" setting by allowing administrators to specify a custom list of email addresses for each manufacturer. This ensures that the generated Sales Order PDF is automatically delivered to the correct stakeholders—such as specific vendor representatives or regional coordinators—as soon as a case is submitted.

What it Means for You

  • Targeted Communication: Direct Sales Orders to specific individuals rather than just the primary manufacturer email on file.

  • Automated Distribution: Once configured, the system automatically sends the Sales Order to your custom list whenever an event moves to "Pending PO" status.

  • Multi-Vendor Support: If an event contains products from multiple manufacturers, Beacon will automatically send separate Sales Orders to the unique recipient lists configured for each one.

  • Standardized Documentation: Automatically generated Sales Orders include essential details like replenishment addresses and pricing information by default.

Using Custom Email Recipients in Your Workflow

Manufacturers

Administrators manage these recipient lists directly on the manufacturer’s detail page. The email list is only visible and active when the automatic email toggle is turned on.

Events

When an event is submitted, the system checks the manufacturers of the inventory used. If a manufacturer has custom recipients listed, those addresses receive the email; if the list is empty but the toggle is on, the system falls back to the manufacturer’s primary email address.

How to use Manufacturer Email Recipients

  1. Navigate to the Manufacturers directory and select a specific manufacturer.

  2. Locate the section labeled Automatically email sales orders.

  3. Switch the toggle to ON to reveal the email recipient management tools.

  4. Add Recipients: Enter a valid email address in the input field and click the Add button.

  5. Manage the List: To remove a recipient, click the Delete (trash can) icon next to their email address.

  6. Review Cues: Look for the helper text reminding you that these automatically sent documents include pricing information.

  7. Save Changes: Your list will persist even if you temporarily toggle the automatic email setting off and back on.
