How to use the 'Scan to Move' feature to process Containers

Overview

The new Scan to Move feature streamlines field inventory audits and custody management by introducing a dedicated, high-velocity scanning mode alongside the traditional barcode scanning function.

Instead of redirecting you away from the scanner screen after a single scan, Scan to Move logs your scans sequentially into a temporary Staging List (Scan Bucket). This allows field representatives to process multiple containers sequentially, automatically match items to nearby facilities using live GPS mapping, and execute multi-source custody transfers in a single sync operation.

Key Feature Capabilities

1. Continuous Multi-Container Scanning

  • Container-Only Mode: To prevent workflow mix-ups, Scan to Move explicitly targets containers (standalone devices and packs are ignored).

  • In-Memory Staging List: Scanned containers drop into a local "Scan Bucket" memory cache that tracks the item ID and exact scan timestamp so scans can be completed in sequence rather than one at a time.

  • Duplicate Protection: The system automatically discards accidental duplicate scans of the exact same container barcode during an active session.

  • Session Persistence: Your staging list remains preserved in memory if you tap "Back" to continue scanning or page through your items. The bucket only clears once you successfully save, manually empty the list, or exit Scan to Move mode entirely.

2. Live GPS Location Proximity Matching

When you open the staging review screen, Beacon automatically captures your live GPS coordinates to determine where the inventory is currently located.

  • Automatic Matching: The system evaluates both the Location and Facility tables against an adjustable proximity boundary (defaulting to 100 meters, with a maximum threshold of 500 meters). If an existing database record falls within that range, its name automatically fills into the location header.

  • Fallback Metadata: If you are outside an established boundary, the scanner displays raw coordinate strings directly in the header so location traceability is never lost.

  • On-the-Fly Standalone Locations: If there is no existing proximity match when you hit "Save & Sync", the app prompts you to name and immediately spin up a new standalone Location record mapped directly to your current coordinates.

3. Smart "Take Custody" & Multi-Source Quick Transfers

A primary advantage of Scan to Move is its ability to aggregate ownership transfers behind the scenes.

  • Dynamic Custodian Aggregation: A Take Custody toggle (enabled by default) automatically reads the underlying metadata of your staging list and groups items by their current owner.

  • One-Click Batch Execution: When saved, the system splits the payload and simultaneously builds unique Quick Transfers from multiple distinct source custodians directly to your user account or field organization balance.

  • Self-Transfer Exclusion: The transfer engine checks if any scanned containers are already technically assigned to you, cleanly skipping self-transfers while still executing required location field updates.

Technical Constraints & Workflow Guardrails

Containers assigned to an active surgical case (Open, Closed, or Pending PO status) or involved in a parallel pending transfer are flagged with a Lock Icon inside your list.

  • Location Updates Permitted: Locked containers can receive global GPS and facility updates via the Scan to Move sync tool.

  • Custody Blocked: Locked containers are strictly blocked from changing ownership. They are omitted from the total transfer count summary.

  • Pre-Save Warnings: If you attempt to sync a mixed list containing locked records while the "Take Custody" toggle is on, a prompt will warn you that certain items cannot change ownership before letting you proceed.

How to Use 'Scan to Move' to Scan in your Containers

  1. Switch to Scan to Move Mode: Open the scanner interface in the Beacon mobile app and toggle the mode switch at the top from "Scan to Find" over to Scan to Move.

  2. Scan Your Containers: Point your device camera at a container's barcode. Once you hear or feel the successful scan confirmation cue, the item is added to your temporary memory list, and the counter on the Review List button will increase. Line up and scan your next container barcode immediately without leaving the screen.

  3. Open the Review Screen: Tap the Review List button at the bottom of the screen to open the staged items review page.

  4. Verify Your Location: Check the location header at the top of the page, which uses your device's live GPS to automatically match and display the nearest Facility or Location record. If the detected location is incorrect or unknown, tap the Edit link next to the header, search for the correct site, and select it to update the header.

  5. Set Your Custody Preference: Locate the Take Custody toggle positioned directly below the location header. Leave it turned ON if you are taking physical ownership of these items (the app will create the required transfers automatically), or toggle it OFF if you are only performing a location audit without changing who owns the inventory.

  6. Save and Sync: Tap the prominent Save & Sync button at the bottom of the screen. If you did not choose a location and your GPS has no match, type a name into the prompt to instantly create a new standalone location at your current coordinates. Wait for the success message to display, which clears your list and completes the process.
