How do I use the Commissions Report in Beacon?

Report Description: Complete view of commission payouts across the sales team, with one row per sales event showing the rep, sub-rep, distributor, facility, physician, and manufacturer involved. Calculates total sales, applies the correct commission rate (physician-specific overrides take priority over the rep's base rate), and computes the resulting commission amount. An interactive split parameter lets you model how commissions are divided between primary and sub-reps and instantly see the impact across every event. Filter by rep, distributor, facility, physician, manufacturer, or date range. Data is updated daily.

Overview

Staying on top of field sales compensation shouldn't require complex calculations or massive offline spreadsheets. ConnectSx Beacon features a dedicated Commission Report module within the Reports engine designed for administrators, operations teams, and distributors.

This report provides high-velocity data compilation that automatically aggregates calculated earnings from closed surgical cases and stocking orders based on the unique commission rules established within your directory.

Key Feature Capabilities

The Commission Report provides your back-office and management teams with robust tracking filters and detailed data tables to maintain a completely transparent compensation chain.

1. Unpaid Commission Log

  • What it tracks: A specialized view isolating all completed and billed sales events where a commission balance is calculated but has not yet been marked as paid.

  • Why it’s valuable: This serves as your weekly or monthly accounting checklist. It pulls the exact sales totals, identifies the assigned representative, and calculates the precise payout amount so you know exactly what is outstanding.

2. Paid History Auditing

  • What it tracks: A historical log of all commissions that have successfully been paid out to representatives or distributor groups.

  • Why it’s valuable: Essential for monthly financial close-outs and tax compliance. You can easily filter by custom date ranges to calculate exactly how much your organization spent on commissions over a prior quarter or fiscal year.

3. Variable and Tiered Structure Support

  • What it tracks: A flexible calculator interface that models variable structures—such as differing percentages for specific product lines, procedures, or multi-tier splits (e.g., manufacturer-to-distributor vs. distributor-to-rep).

  • Why it’s valuable: If your organization utilizes complex or tiered contracts that can't be strictly automated, this report lets you apply custom percentage overrides directly to a bundle of extracted transactions, instantly computing the split without risking manual entry errors in Excel.

How to Access and Filter the Report

💡 User Role Permission Note: The Commission Report is a management-tier feature available to Admins, Operations Users, and Distributors. Standard Sales Representative accounts will not see this data.

  1. Log into the ConnectSx Console and navigate to the Reports tab on the left-hand sidebar menu.

  2. Under the Events & Sales heading, locate and click the Commission Report card to open the live dashboard.

  3. Set your filters: Use the interactive filter panel at the top of the dashboard to narrow down the dataset:

    • Date Range: Filter by surgical case date or the date the purchase order (PO) was captured.

    • Status: Toggle between Paid or Unpaid commission logs.

    • Custodian/Representative: Isolate metrics for a specific sales rep or distributor group.

  4. Apply Criteria: Click the prominent purple Update button (refresh icon) in the top-right corner of the filter bar.

Step-by-Step: Exporting Commission Data for Payouts

When it is time to run your payroll or distribute statement sheets to your independent reps, you can seamlessly export the raw ledger rows.

  1. Scroll down to the Commission Details Data Table at the bottom of the report dashboard.

  2. Hover your mouse over the data grid to reveal the hidden formatting controls, and click on the three vertical dots (Tile Actions / Kebab Menu) in the upper-right corner of the table tile.

⚠️ Important Reminder: Do not use the main kebab menu at the absolute top of the browser screen, as it applies to the entire dashboard container and will distort your file formatting. Always use the menu attached directly to the table grid.

  3. Select Download Data from the options list.

  4. In the advanced layout configuration window, apply the following optimized settings:

    • Format: Select Excel Spreadsheet or CSV.

    • Data Values: Select Unformatted. This strips out extra currency symbols or text strings, ensuring your cells are ready for mathematical pivot tables or upload into external payroll software.

    • Number of Rows: Expand the selection and choose All Results. (The browser view limits displayed rows for speed, but selecting All Results ensures no transaction data is missing from your download).

  5. Click Download to save the statement file directly to your local device.

Frequently Asked Questions (FAQ)

Why is a completed case not showing up on my Unpaid Commission report?

The reporting engine maps live statuses directly from your billing pipeline. A case will not generate a reportable commission row until the event has officially advanced past the Pending PO stage. Ensure that the facility's purchase order (PO) number has been successfully uploaded to the event record, moving it to Pending Payment.

How do I clear paid items off the outstanding commission log?

Once you have transacted a payment to a representative or distributor, navigate to the specific Event Detail screen for that case. Locate the billing checkboxes in the right-hand rail and check the Commission Paid box. Once saved, the event updates across your Looker databases and automatically removes itself from your outstanding unpaid log. Once the event has a PAID status it will also be removed from the report as the commission box will be checked or no commission marked.
