Update:
To maintain data integrity, Beacon enforces unique NPI numbers per organization. If you attempt to create or edit a physician using an NPI already in your directory, the system will prompt you to review existing records to prevent duplicates.
Overview
Managing your Physician Directory just got a whole lot easier and more accurate. Instead of manually typing out legal names, NPI numbers, and office addresses, ConnectSx Beacon now integrates directly with the federal NPPES NPI Registry via their public API.
Whether you are onboarding a brand-new doctor or auditing an existing profile, you can now search by NPI Number or Physician Name to automatically populate profile fields inside Beacon.
Key Capabilities
Flexible Search Options: Look up physicians using their unique 10-digit NPI or by typing their first and last name.
Instant Form Auto-Population: Pull official database records directly into your form with a single click.
Smart Address Handling: Since many physicians maintain multiple practice locations, the registry lookup allows you to preview and select the specific address you want to save.
Enforced Data Integrity: Restricts search results to individual providers (NPI-1 type individuals) rather than organizational facilities.
How to Use the NPI Registry Lookup
1. Creating a New Physician Profile
When adding a new doctor to your organization's directory, the lookup tool is available on the very first screen of the setup wizard:
Navigate to Directory > Physicians and click the + New Physician button in the upper right corner[cite: 1, 2].
In the setup modal, locate the NPI Number field, which has now been moved to the first screen.
Enter either the doctor's 10-digit NPI number or their First and Last Name.
Click the Search button.
Review Results:
If a single exact match is found, their full details will appear.
If multiple matches are found (common with name-based searches), a list of names and locations will appear. Click on the correct record to preview their details.
Select Your Address: If the physician has multiple registered addresses, select the specific practice location checkbox you would like to map to their profile.
Click Populate Fields to instantly fill the setup form.
Fill out any remaining clinical details or custom tags, and click Create[cite: 1, 2].
2. Updating an Existing Physician Profile
If you have an existing record that is missing an address, phone number, or correct formatting:
Go to Directory > Physicians and select the doctor you want to update[cite: 1, 2].
On the Physician Detail Page, locate the new NPPES Search button placed right next to the NPI field.
Click the button to launch the live lookup interface. (If an NPI is already saved on the profile, it will search automatically; otherwise, it will fall back to a name search).
Select the matching official record and choose the desired address line.
Confirm the update to automatically overwrite and normalize your local directory data with the verified federal database values.
đĄ Pro-Tip for Admins: After adding or updating a physician record, don't forget to navigate to the Users section to assign the physician to the Sales Representatives or Distributors who cover their cases[cite: 1, 2]! Directory records will only appear on mobile apps if they are properly assigned[cite: 1, 2].
