How do I use the Inventory Transaction Report in Beacon?

Overview

The Inventory Transaction Report provides complete, end-to-end visibility into all inventory activity across your organization over time. Completely replacing the legacy Inventory Adjustment Report template, this report expands tracking beyond basic stock additions and removals by incorporating custody transfers and continuous running balances.

With report data updated daily, supply chain, finance, and operations teams can trace the entire lifecycle of every device, analyze field inventory movements, and reconcile stock counts.

Key Features & Capabilities

The Inventory Transaction Report logs every action that impacts your active inventory balances:

  • Complete Transaction History:

    • Additions: Logs all new stock created through CSV imports, third-party system integrations, or manual inventory creation.

    • Removals: Documents inventory deactivations resulting from surgical case usage, stock adjustment events, or manual deactivations.

    • Custody Transfers: Displays custody movements as paired removal and addition records linked under the same Beacon ID number, ensuring complete chain-of-custody tracking.

  • Running Quantity Balance: Maintains a continuous running balance after every single transaction, making it easy to establish historical stock levels as of any date.

  • Granular Transaction Details: Each row item details the transaction type, transaction date, current custody/custodian, Beacon ID number or source reference, line-item quantity, and updated running balance.

  • Flexible Filtering: Allows filtering by date range, custody, manufacturer, catalog number, and product line to analyze specific movement patterns.

User Roles & Permissions

The Inventory Transaction Report is available to administrative, operational, and regional management roles:

  • Admin

  • Operations

  • Regional Manager

  • Distributor

(Note: Standard Sales Representatives and Facility Managers do not have access to this report).

How to Access the Inventory Transaction Report

  1. Log into the ConnectSx Beacon Console.

  2. Navigate to the Reports section in the navigation menu (URL: /statistics).

  3. Select the Inventory tab.

  4. Click the Inventory Transaction Report card (located in the 3rd slot of the Inventory section, where the legacy Inventory Adjustment Report was previously hosted).

  5. Set your desired filter criteria at the top of the dashboard (e.g., Date Range, Custodian, Catalog #).

  6. Click the Update / Refresh button (purple arrow icon in the top right of the filter bar) to reload the report.

How to Export Report Data

To extract full transaction records for external audits or offline spreadsheet analysis, follow these export settings:

  1. Hover over the upper-right corner of the report table tile.

  2. Click the Tile Actions menu (the three vertical dots / kebab icon on the specific report table — do not click the page-level menu at the top of the screen).

  3. Select Download Data.

  4. Choose your preferred file format (e.g., CSV or Excel Spreadsheet).

  5. Expand the Advanced Data Options section and configure the following settings:

    • Results: Select With visualization options applied.

    • Data Values: Select Unformatted (ensures raw numeric values without rounded formatting).

    • Number of Rows to Include: Select All Results (prevents truncation and ensures all historical transaction rows are exported).

  6. Click Download.

Primary Use Cases

  • Cycle Count & Audit Reconciliation: Compare physical counts against historical transaction logs to determine the exact date, transfer, or event where a discrepancy occurred.

  • Custody & Transfer Audits: Trace the path of inventory moving between central warehouses, distributors, and field sales representatives using paired transfer records.

  • Shrinkage & Deactivation Tracking: Review stock adjustments alongside surgical usage to monitor loss, damage, or expiration trends across specific territories or product lines.
