When a user is deactivated, what happens to the inventory in their custody?

When a user account is deactivated in ConnectSx Beacon, all associated inventory remains safely in the system—Beacon never deletes inventory or historical data. The inventory stays assigned to the deactivated user's custody in a locked state until an Operations or Admin user reallocates or adjusts it.

Inventory Status and Condition

  • Preserved Item Status: Inventory retains its existing status (e.g., Unused, Ready for Sale, Consigned, or Loaned).

  • Field Lock: Because the deactivated user cannot log in or be assigned to events, the inventory cannot be used, sold, or transferred by that user.

  • Orphaned Custody: The inventory remains active in the database under the deactivated user's custodian ID until transferred to an active custodian or organization warehouse.

How to Locate Inventory Held by a Deactivated User

Operations users, Admins, and assigned Distributors can quickly locate orphaned inventory in the Beacon Console:

  1. Navigate to Inventory $\rightarrow$ All Inventory in the navigation menu.

  2. Open the Filters pane on the left.

  3. Locate the Custodian dropdown filter.

  4. Search for and select the name of the Deactivated User (deactivated users remain searchable in custodian filters).

  5. Click Apply Filters to display all devices and containers currently held in that user's custody.

Transfer Custody

Reallocates inventory to an active Sales Rep, Distributor, or the Organization warehouse.

Initiate a new Inventory Transfer from the deactivated user to the receiving custodian, then accept the transfer on their behalf.

Stock Adjustment

Consumes missing, damaged, or unrecoverable inventory while maintaining a clear audit trail.

Create an Event using the Stock Adjustment event type, select the items from the deactivated user's custody, and complete the event.

Audit Reconciliation

Rebalances stock counts during cycle counts or field reconciliations.

Run an Inventory Audit for the deactivated user and click Auto-Reconcile to transfer variance stock to your Discrepant Custodian.

Key Best Practices

  • Clear Open Events First: Before deactivating a user, reassign or close any open or scheduled surgical cases assigned to them.

  • Resolve Pending Transfers: Accept or decline any inbound pending transfers for the user prior to deactivation.

  • Account Reactivation: If the user is reactivated in the future, any inventory still remaining in their custody will automatically become available to them again upon login.
