How Can I Automatically Request Replenishment when Returning Expired Inventory?

Overview

Expired inventory in the field creates operational risk and requires administrative time to return and replace. To streamline reverse logistics and field restocking, ConnectSx Beacon allows representatives to transfer expired inventory back to the Organization and automatically generate a 1:1 replenishment request for those exact items in a single workflow.

Key Features & System Behavior

  • Automatic Detection: When a user selects expired inventory items to transfer back to the Organization, Beacon automatically detects the expired status of the selected items.

  • Automated Prompt: Upon creating the transfer, the system displays a "Replenish Expired Items" prompt asking if you would like to generate a matching replenishment request.

  • 1:1 Item Matching: The generated request automatically mirrors the catalog numbers, item descriptions, and quantities of the returned expired items.

  • Integrated Audit Trail: Beacon inserts an automated system comment into the request notes linking the Request ID directly to the pending return Transfer ID (e.g., "Replenishment request for returned expired inventory - Transfer ID: [ID]").

Step-by-Step Instructions

  1. Initiate an Inventory Transfer:

    • Navigate to Movement > Transfers in the navigation menu.

    • Click the + button in the bottom right corner to start a new transfer.

    • Select the Organization as the destination recipient for the transfer.

  2. Select Expired Inventory:

    • Apply inventory filters to display your expired stock.

    • Select the expired items and quantities you need to return.

  3. Configure Transfer Details:

    • Enter the Ship To address and any required shipping or tracking notes.

    • Click Create to submit the transfer.

  4. Confirm Automated Replenishment:

    • When the "Replenish Expired Items" pop-up appears, click Yes, create it.

    • (Note: If replacement inventory is not needed, select "No" to execute the transfer without generating a request.)

  5. Verify the Created Request:

    • Navigate to Movement > Requests.

    • Open the newly generated request to review the requested items.

    • Check the Notes and Comments section to verify the linked Transfer ID for complete traceability.
