How to Exclude Loaned Container Items from a Replenishment Request

When submitting a surgical case for billing or requesting replenishment from an event, Beacon automatically pre-populates the request with the items consumed during surgery. If a case used inventory from a temporary loaner kit alongside regular consigned trunk stock, sales reps and operations teams often need to avoid restocking items that originated from that loaner tray—since the loaner container itself is scheduled to be returned to the warehouse rather than restocked in the field.

Beacon allows users to automatically exclude any devices pulled from containers with a LOANED consignment status during the replenishment request workflow.

Why Exclude Loaned Items from Replenishment?

In medical device field operations, inventory is typically divided between:

  • Consigned Stock (Trunk Stock): Implants and disposables permanently assigned to a sales representative or distributorship that must be replenished 1:1 after each surgical case.

  • Loaned Kits (Trays & Sets): Short-term kits sent from corporate headquarters or a regional depot for a specific scheduled procedure and tracked with due-back dates.

When a surgery utilizes items from both consigned trunk inventory and a loaned container, a standard replenishment request would normally order replacements for everything consumed. Because loaned trays are returned directly to the depot for inspection, cleaning, and central restocking, requesting field replenishment for those parts can lead to excess inventory sitting in field trunk stock.

Enabling the loaned item exclusion ensures that only items needing field replenishment are submitted to the manufacturer.

How It Works

The exclusion control is located on the first step of the Request Replenishment workflow in the Beacon Console.

Step-by-Step Instructions

  1. Initiate the Replenishment Request:

    • Option A (During Billing Submission): When completing a case, check the Request Replenishment box before capturing electronic signatures and clicking Submit for Billing.

    • Option B (From the Event Detail Page): On any submitted or closed event, open the More menu in the top-right corner and select Request Replenishment.

  2. Configure Request Details (Screen 1):

    • Confirm the Requested For recipient and the Manufacturer.

    • Locate the checkbox directly beneath the Manufacturer field:

Exclude any item from this request that were pulled from a Loaned Container

    • Check this box to strip out loaned inventory.

  3. Proceed to Item Selection (Screen 2):

    • Click Next.

    • On the Select Inventory screen, Beacon automatically filters the pre-populated list. Only consumed items originating from non-loaned inventory (such as consigned trunk stock) will appear.

    • If you need to add off-case items, click Request Additional Inventory to search and add devices manually.

  4. Finalize Delivery Details (Screen 3):

    • Verify your Need-By Date and Ship-To Address.

    • Add any contextual notes for the warehouse fulfillment team.

    • Click Create to submit the replenishment request.

Key System Behaviors & Guardrails

  • Smart Consignment Filtering: The filter evaluates the consignment status snapshot captured when the device was used in the event. Any item pulled from a container marked LOANED, as well as any loose items carrying a LOANED status, are excluded.

  • Persistent Preference: The state of the exclusion checkbox is remembered by your browser. If you check the box, it remains checked for future replenishment requests until you manually deselect it.

  • All-Loaned Case Validation: If all products consumed during an event came from loaned containers and the checkbox is active, Beacon will prevent an empty request from being generated and display an alert indicating that no eligible items exist for replenishment.

  • Request Record Integrity: When a request is created with the exclusion applied, the system stores this selection on the request record (excludeLoanedItems). The Requested Inventory table and fulfillment assignment views will reflect that loaned items were deliberately bypassed.

  • Manual Adjustments Maintained: Excluding loaned items only changes what Beacon pre-selects from the case. Users retain full control on the Select Inventory screen to add loose devices, remove individual line items, or adjust quantities before finalizing the request.
