How to View Change History for Lot Numbers and Expiration Dates in Beacon

ConnectSx Beacon automatically logs and displays an audit history whenever an inventory item's Lot Number or Expiration Date is modified or removed. This change history ensures full chain-of-custody traceability, supports FDA 21 CFR Part 11 regulatory compliance, and provides clear visibility into field and warehouse adjustments.

  • Modification Timestamps: Displays the exact date and time the Lot Number or Expiration Date was last edited.

  • User Attribution: Identifies the specific user account that made the modification.

  • Status Badges: Applies a visual Lot Changed flag to the item detail card whenever the lot number differs from its original record.

How to View Item Change History

  1. Navigate to Inventory > All Inventory in the ConnectSx Console or Beacon Mobile.

  2. Search for the item by Catalog Number, Lot, or Barcode, and click on the record to open its Device Detail screen.

  3. Scroll to the UDI / Device Information section.

  4. Locate the Lot Number or Expiration Date fields.

  5. View the Lot Changed status bubble, timestamp, and user attribution directly below the edited field.

Description

UDI Lock

If a verified UDI barcode is present on the device, the parsed Lot Number and Expiration Date are treated as the source of truth and cannot be edited manually unless the UDI string is cleared first.

User Permissions

Modifying lot numbers or removing expiration dates requires specific Admin or Operations user permissions enabled in Organization Settings.

Historical Permanence

Once a change is saved, the updated timestamp and user log persist on the device detail record even if the item is transferred, placed on hold, or consumed in a surgical event.
