How to Use the Stocking Order 'Shipment' Tab to Track Delivery of Customer Orders

When processing a direct sale or fulfillment through a Stocking Order Event, managing logistics and tracking direct-to-customer shipments is critical to ensuring smooth delivery. The Shipment tab on the Stocking Order detail screen integrates shipment creation, multi-package tracking, label generation, and delivery tracking directly into your sales workflow.

Overview & Key Capabilities

Stocking Orders represent direct sales or consignment fulfillment where inventory is shipped from a manufacturer or distributor warehouse directly to a customer facility. The Shipment tab streamlines this process by centralizing all shipping operations within the event record.

  • Direct Delivery Tracking: Log carrier information, tracking numbers, and shipping costs to monitor package progress and delivery status directly inside ConnectSx Beacon.

  • Multi-Shipment Support: Add separate shipping sections for orders that ship in multiple packages or from different fulfillment centers.

  • Address Autofill: Quickly populate destination addresses using saved facility profiles or manual entries.

  • Integrated Label Generation: Generate carrier shipping labels directly within the event using the integrated Shippo widget.

  • Fulfillment Documentation: Export tailored Stocking Order Pick Lists and Packing Slips equipped with scannable QR codes for facility acceptance or issue reporting.

Important: Ensure all shipping addresses, tracking codes, and item allocations are verified before final submission.

How to Manage Shipments on a Stocking Order

1. Access the Shipment Tab

  1. Navigate to Events in the left navigation menu.

  2. Open an existing Stocking Order event (or click New Event and select Stocking Order as the Event Type).

  3. On the Event Detail screen, locate and click the Shipment tab positioned alongside Devices Used.

2. Configure the Ship-To Address

  1. In the Ship To Address section, select an address from the Autofill from dropdown menu (e.g., Facility Primary Address or Facility Shipping Address).

  2. Alternatively, manually enter or update the street address, city, state, and ZIP code for custom delivery locations.

  3. Click Save Address.

3. Log Tracking Information & Track Delivery

  1. Scroll down to the Tracking Information section.

  2. Select the designated Carrier (e.g., FedEx, UPS, DHL, USPS).

  3. Enter or barcode-scan the Tracking Number and enter any applicable Shipping Costs.

  4. Multiple Packages: If the order is split across multiple shipments, click Add New Shipping Section to generate additional carrier and tracking input fields.

  5. Click Save Tracking Info.

  6. View Delivery Status: Click View Tracking Info next to any active tracking number to view real-time carrier status updates, transit milestones, and estimated delivery dates directly within Beacon.

4. Create Shipping Labels via Shippo

  1. Under the shipment section, click Create Shipping Label.

  2. Verify the destination and ship-from addresses.

  3. Input package dimensions, weight, and item details.

  4. Click Next to enter the Shippo label widget, select your preferred carrier service rate, and generate the label.

  5. Download and print the shipping label to attach to the outbound package.

5. Export Shipping Documentation

Once items are marked as used and shipment details are logged, generate formal fulfillment documents from the Shipment tab:

  • Stocking Order Pick List: Generates an itemized picking sheet organized by manufacturer for warehouse staff to pull physical inventory.

  • Stocking Order Packing Slip: Includes shipping addresses, tracking numbers, itemized contents, and scannable QR codes. Recipients can scan the QR code to accept the shipment or report issues without requiring a system login.

Best Practices

  • Associate Inventory Before Shipping: Mark all sold devices or containers on the Devices Used tab before finalizing tracking information to ensure packing slips reflect the exact contents.

  • Log Individual Tracking Codes for Split Shipments: Always create distinct shipping sections when items ship in separate boxes so customer service teams can monitor each package independently.

  • Encourage Facility QR Scanning: Advise receiving staff at the facility to utilize the packing slip QR codes for instant digital delivery confirmation.
