Understanding Converting Requests
This feature allows administrators to convert an existing standard request into an organization-level request after it has already been created. This is useful for ensuring the organization manages the fulfillment and payment process even if the request was initially submitted by an individual representative.
What it Means for You
Workflow Flexibility: You can transition a request to the organization workflow at any time while it is still in the "Created" status.
Preserved Tracking: The original person who made the request is automatically preserved and listed as the Associated Rep for accurate tracking.
Automated Vendor Notification: Converting a request automatically triggers a notification email to the manufacturer so they are immediately informed of the change.
On-Demand Communication: Administrators can manually re-send notification emails to manufacturers at any time directly from the request details.
Using Converting Requests in Your Workflow
The option to convert a request is found within the "More..." menu on any standard request detail page, provided the request is still in the CREATED status. Once converted, the request will follow the organization request workflow, and a new Send to Manufacturer quick action button will appear for manual email management.
How to use Converting Requests
Navigate to the Request Detail page of a standard request that is in CREATED status.
Click the More... menu and select Convert to Org Request.
Review the confirmation modal, which will inform you that the original requestor will become the Associated Rep.
Verify or override the Manufacturer Email field in the modal; this defaults to the email address on file for that manufacturer.
Click Convert to finalize the change.
To re-send a notification to the vendor later, click the Send to Manufacturer quick action button now visible on the request detail page.
